Work Smarter – Not Harder – and Get More Done (part 1)

Each of us is given the same 24 hours per day to accomplish our work.

So, why do some people seem to get so much more in a day than others?

Honestly, there’s no magic formula for increasing productivity; with the right insights and better habits, you and your team can work a little smarter – and get a lot more done.

Identify high-value activities.

These are the tasks that get you to your monthly, quarterly and annual goals. Make a list of your top three to five activities that add the most value to your company by:

  • Tracking your daily activities over the course of a month, to determine the core set of tasks for which you are responsible.
  • Studying the list and asking yourself if you could only do one single thing on the list all day long, which task would add the most value to the organization.
  • Repeating this process to identify and prioritize the other tasks you perform that add the most value to your company.

Once you’ve identified your high-value activities, use the balance of these tips to devote more time to working on those tasks each week.

Improve your to-do list.

Planning is essential to productivity, but a mental or hastily written list of to-dos is merely a wish list if it doesn’t translate into a cohesive course of action for your day. Make your to-do list more efficient by:

  • Starting it the evening before. When you end your previous work day with a clear idea of what you need to accomplish in the morning, you’ll get off to a more productive start.

  • Prioritizing tasks that are on your plate, so you tackle your most important items first – or at a time of day when you know you’re most productive (see below).

Design a routine that capitalizes on your peak productivity.

Each of us has a time of day during which we’re naturally at our best. Some of us are morning people; others are more focused later in the day. Instead of pushing through those times when you feel unmotivated or unable to focus, try building a work routine that complements them. Schedule time to work on high-focus, high-value, high-priority tasks during your peak performance periods – and reserve activities that don’t require as much brain power for non-peak times. If you perform your most important tasks when you’re feeling the most focused and energetic, you’ll get a lot more done in a lot less time.
